Helpie vs Help Scout

A polished support SaaS vs a self-hosted WordPress helpdesk with grounded AI

Help Scout is one of the nicest support tools out there. It is clean, friendly and thoughtfully designed, a shared inbox your whole team works from, a tidy knowledge base, the Beacon widget, and AI that drafts and summarises. If you want a polished, low-fuss helpdesk that your team will actually enjoy using, Help Scout is a lovely choice, and nothing here is meant to knock it.

The reframe for a WordPress store, though, is the same one that applies to any SaaS helpdesk. Help Scout is a hosted service: your support data lives on their cloud, you pay per user every month, and the AI that answers customers is charged per resolution on top. For a small store whose support really happens on its own website, that can be more platform, and more ongoing cost, than the job needs.

We make Helpie, so we are biased. But if you are looking for a "Help Scout alternative", the honest question is not "which is more polished" (Help Scout is a benchmark for polish) but "do I want a hosted shared-inbox platform, or a self-hosted helpdesk with a chat that answers from my own content, living right in my store". Helpie is built for the second. Here is the fair version.

The Quick Version

What it is

  • Helpie: A self-hosted WordPress helpdesk plugin with an AI chat grounded in your own site content.
  • Help Scout: A hosted support platform, shared inbox, docs and chat, that your team logs into.

Where your data lives

  • Helpie: In your own WordPress database, on your own hosting.
  • Help Scout: On Help Scout’s cloud.

Pricing model

  • Helpie: Flat annual licence. A$149 first year, then A$119.20 to renew. One licence, up to 5 sites. Not per user.
  • Help Scout: Per user, per month. Standard US$25, Plus US$45, Pro US$75 per user/month (billed annually), plus a free tier for up to 5 users.

AI cost

  • Helpie: Chat runs on Claude using your own Anthropic API key. Anthropic bills you directly for usage, at their price, with no markup from us and spend caps built in. No per-seat or per-resolution helpdesk fee.
  • Help Scout: AI Assist and Drafts are included on paid tiers; AI Answers is an add-on at US$0.75 per resolution.

Extras that add up

  • Helpie: One licence covers the plugin. No per-inbox or per-docs-site fees.
  • Help Scout: Extra inboxes (US$10–12/mo each) and extra Docs sites (US$20–24/mo each) are billed on top.

The AI chat

  • Helpie: Answers from your own site content, and raises a ticket when it can’t. Grounded, not guessing.
  • Help Scout: AI drafts, summaries and AI Answers, well-integrated into the inbox.

WooCommerce awareness

  • Helpie: Sees the customer and their orders, because it lives in your store.
  • Help Scout: Integrates with WooCommerce via a connector; not native to it.

Team collaboration

  • Helpie: Web-based support and tickets on your site.
  • Help Scout: A genuinely excellent shared inbox built for team collaboration.

That’s the shape. Now the meaning.

Where Help Scout Does Well

The shared inbox is superb. Help Scout’s collaborative inbox, with collision detection, private notes, assignments and saved replies, is one of the best in the business. For a team handling email support together, it’s a joy.

It’s beautifully simple. Help Scout is famous for being easy and pleasant, light onboarding, clean design, no enterprise bloat. That approachability is a real, deliberate strength.

Docs and Beacon are polished. The knowledge base and the Beacon widget (help, docs and chat in one) are well made and easy to deploy, giving customers self-service that looks good.

Sensible AI in the inbox. AI Assist and Drafts help agents write faster, and AI Answers can deflect repetitive questions. It’s tastefully integrated rather than bolted on.

There’s a free tier. Up to five users at no cost is a genuine on-ramp for a small team, and a legitimate reason to start there.

Where the Approaches Differ

Your site vs their cloud

Helpie runs inside your own WordPress site, and the tickets, chats and notes live in your own database. Help Scout is a hosted platform: your conversations and customer data sit on Help Scout’s cloud, reached through their app. Both are reliable, and Help Scout is a careful custodian. But one keeps support inside the store you own, and the other keeps it in a managed service. If you’d rather your customer conversations never left your own site, that’s the deciding difference.

A flat licence vs per-user, plus per-resolution, plus per-inbox

Help Scout’s cost is per user per month (US$25 to US$75 on paid tiers), and then the pieces add up: AI Answers at US$0.75 per resolution, extra inboxes at US$10–12 each, extra Docs sites at US$20–24 each. For a small team it stays reasonable; as you add people, inboxes and AI, it climbs. Helpie is a flat annual licence, A$149 the first year then A$119.20 to renew, one licence covering up to five sites, and it doesn’t change as you add support people. Neither is universally cheaper, Help Scout’s free tier is hard to beat at the very smallest scale, but the shape is different, and Helpie’s cost doesn’t grow with your team or your ticket volume.

Grounded AI chat, on your own content

Helpie’s chat answers from your own site content, your product pages, docs and policies, and raises a ticket when it genuinely can’t help. It’s grounded in what you’ve actually written, so it deflects the common questions without making things up. Help Scout’s AI is well done and nicely integrated, with AI Answers metered per resolution. For a store that mainly needs "answer the FAQs on my site instantly, escalate the rest", Helpie’s grounded chat covers that squarely, in your own store.

It already knows your customer

Because Helpie lives in your WooCommerce store, a conversation arrives with the customer and their orders attached, nothing to connect or sync. Help Scout integrates with WooCommerce, but it’s a bridge between two systems rather than one that already holds the context.

When Help Scout Is Your Answer

Email support is a team sport in your business. Help Scout’s shared inbox is best-in-class: assignment, collision detection, private notes, the lot. Helpie isn’t trying to replicate that, and if two or more people work the same queue every day, the shared inbox is the product you’re actually shopping for.

You want polish and you don’t want to host anything. Help Scout has had years of design refinement and somebody else runs the servers. Helpie is newer and lives on your site, which means your hosting and your updates. If you’d rather not think about either, that’s a fair reason to pick Help Scout.

Your stack reaches past WordPress. Help Scout plugs into a wide range of tools. Helpie is WordPress and WooCommerce first.

You need to start at zero. Help Scout’s free tier lets a tiny team get going at no cost. Helpie doesn’t have a free version.

Who Should Choose What

Help Scout is likely the better fit if you:

  • Run email support as a team and want a first-class shared inbox.
  • Value polish and simplicity above all, and don’t want to self-host.
  • Are a very small team that can start on the free tier.
  • Want AI drafting and summaries woven into an agent inbox.

Helpie is likely the better fit if you:

  • Run a WooCommerce or WordPress store and want support that lives on your own site.
  • Want your support data in your own database, not a third-party cloud.
  • Prefer a flat licence to per-user seats plus per-resolution and per-inbox add-ons.
  • Want a grounded chat that answers from your own content and escalates to a ticket.
  • Value that support already knows the customer, because it lives in the store.

Switching from Help Scout

If your support is mostly your website answering questions and taking the occasional ticket, moving to Helpie is straightforward: export your Help Scout data, stand Helpie up on your WordPress site, point its chat at your existing content, and run it alongside while you settle in. If your team leans heavily on Help Scout’s shared inbox for collaborative email, weigh that honestly, it’s the thing you’d miss most, and it might be worth keeping. Match the tool to how your support actually works.

Go Have a Look

The right choice depends on whether your support is a team inbox or a website that answers for itself.

Helpie — try it on the Have A Go demo (ask the chat something a real customer would, or raise a ticket), or see the details at tracksies.com and docs.tracksies.com. Flat licence, up to five sites, 14-day refund, data on your own server.

Help Scout — a polished, friendly support platform with an excellent shared inbox, ideal for teams doing collaborative email support.

We built Helpie for store owners who want smart, self-hosted support that answers from their own content and keeps customer conversations on their own site. If that’s you, we’d love you to try it. If a beautiful shared inbox is what your team needs, Help Scout is a lovely choice. Your store, your call.
