A feature

VIP, caution, do-not-serve. The notes that matter, where you need them.

Flags are different from tags. Tags are behavioural (how they shop). Flags are editorial (what you’ve decided about them).

What flags look like

Each flag has a colour, an icon, and a short label. Defaults ship:

  • VIP (green). Your best customers. Returning, high-value, worth extra care.
  • Caution (amber). Something to watch. Past issue, complicated order, needs checking.
  • Do not serve (red). Refused custom. Chargeback history, abuse, won’t fulfil.

You can edit defaults or add your own (Trade, Wholesale, Handle with care, Phone before shipping, whatever matters for your shop).

Where flags appear

  • Customer profile. Top of the page, prominently.
  • Order edit screen Intel Panel. Next to tags, impossible to miss.
  • Customer list. Column, filterable.

The point: if someone is flagged, you see it before you process their next order, not after.

Applying and editing flags

Flags are applied manually from the customer profile. Click Add Flag, pick the flag type, optionally add a note explaining why. Flags are logged (who applied what, when, with what note) so there’s always a paper trail.

Priority Rules can also apply flags automatically when certain conditions match. For example, “if a customer has more than two chargebacks, apply Caution.” See the Priority Rules feature.

Flags with expiry

Flags can have optional expiry dates. Useful for time-bound situations: “Caution, expires in 30 days” for a customer who had a bad return but is otherwise fine; after 30 days the flag clears automatically. Permanent flags (most VIPs, most Do-Not-Serves) don’t have expiries.

Not to be confused with tags

Tags update themselves based on what the customer does. Flags stay where you put them until you remove them. Both live on the profile and the Intel Panel, just answering different questions: “how do they shop” (tags) vs “what should staff know about them” (flags).
